Privacy Policy

Last updated: August 7, 2026

Vistasolve Technologies ("Vistasolve", "we", "us", or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, store, and protect personal information when you use Vistasolve websites, applications, APIs, and related services (collectively, the "Services").

This policy is designed for Vistasolve's business-support and software services, including our social media management features and connected third-party services such as Instagram and Facebook.

Important: This document is a working privacy-policy draft, not legal advice. Before publishing it, Vistasolve should have it reviewed for the laws that apply to its business and customers, particularly Kenyan data-protection requirements and any requirements applicable to customers in the EU/EEA, United Kingdom, United States, or other jurisdictions.

1. Who We Are

The Services are provided by Vistasolve Technologies.

Contact: legal@vistasolve.com
Website: https://vistasolve.com

Where Vistasolve processes personal information on behalf of a business customer, that customer may be the data controller and Vistasolve may act as a data processor/service provider. In those circumstances, the customer's privacy notice may also apply to the information processed on its behalf.

2. Information We Collect

We collect information that is necessary to provide, secure, maintain, and improve the Services.

2.1 Information You Provide

Depending on how you use the Services, this may include:

  • Name and contact information

We do not need to collect every category listed above from every user. We collect information appropriate to the features you use.

2.2 Connected Social Media Accounts

If you connect a social media account to Vistasolve, we may receive information from that platform according to the permissions and authorization you grant.

For example, when you connect an Instagram professional account, we may receive information made available through the applicable Meta/Instagram APIs, which may include:

  • Instagram account or user ID
  • Username and profile information
  • Account and media metadata
  • Posts and other media needed to provide requested features
  • Publishing-related information
  • Comments and related information where you enable comment-management features
  • Insights and analytics where you enable analytics features
  • Other information made available by the platform under the permissions you authorize

If you connect Facebook Pages or other social platforms, we may similarly process information made available through the relevant platform APIs.

We use connected-account information to provide the functionality you request, such as scheduling, publishing, analytics, comment management, and account synchronization.

We do not ask for or store your social-media account password when you connect an account through an authorized API integration.

You can disconnect a connected social account from Vistasolve, subject to the functionality and limitations of the applicable platform. Disconnecting an account may stop future API access, but information already lawfully stored by Vistasolve may remain for the period described in this policy or as required by law.

2.3 Information Collected Automatically

When you use the Services, we may automatically collect information such as:

  • IP address
  • Browser and device type

  • Approximate location derived from technical information
  • Dates and times of access
  • Pages, screens, features, and actions used
  • Referring and exit pages

  • Authentication and security logs

We use this information to operate the Services, maintain security, troubleshoot problems, understand usage, and improve our products.

2.4 Cookies and Similar Technologies

  • Keep users signed in
  • Maintain security
  • Remember preferences
  • Operate essential application functionality
  • Understand how our websites and applications are used

  • Support communications and marketing where permitted

Where applicable law requires consent for non-essential cookies or similar technologies, we will provide appropriate choices.

We may use personal information to:

  1. Create and administer accounts.
  2. Provide and operate the Services.
  3. Authenticate users and secure accounts.
  4. Connect and manage authorized third-party services.
  5. Schedule, publish, synchronize, and manage social-media content at the user's direction.

  15. Comply with legal obligations and enforce our agreements.
  16. Protect the rights, property, safety, and security of Vistasolve, our users, and others.

We aim to collect and use only information reasonably necessary for these purposes.

4. Legal Bases for Processing

Where data-protection law requires us to identify a legal basis, our processing may rely on one or more of the following:

  • Performance of a contract: to provide the Services you request.
  • Legitimate interests: to operate, secure, maintain, improve, and protect our Services, where those interests are not overridden by applicable rights.
  • Consent: where we ask for consent, such as where required for certain cookies or marketing activities.
  • Legal obligations: where processing is necessary to comply with applicable law.
  • Other lawful bases: where recognized by applicable data-protection law.

Where we rely on consent, you may withdraw it where applicable. Withdrawal does not affect processing that occurred before withdrawal.

5. How We Share Personal Information

We do not sell your personal information as a business model.

We may share information with the following categories of recipients when necessary:

5.1 Service Providers

We may use third-party providers for services such as:

  • Cloud hosting and storage
  • Databases
  • Email delivery
  • Authentication
  • Payment processing
  • Analytics
  • Error monitoring
  • Customer support
  • Security
  • Content processing
  • AI or automation services where you use related features

These providers process information according to our instructions and applicable agreements.

5.2 Connected Platforms

When you authorize a social-media integration, Vistasolve exchanges information with the applicable platform to provide the requested functionality.

For example, publishing a scheduled Instagram post requires Vistasolve to send the relevant content and publishing request to Instagram/Meta.

Your use of a connected platform is also governed by that platform's own terms and privacy policies.

5.3 Business Transfers

If Vistasolve is involved in a merger, acquisition, financing, restructuring, sale of assets, or similar transaction, personal information may be transferred as part of that transaction, subject to applicable law.

5.4 Legal and Safety Reasons

We may disclose information when reasonably necessary to:

  • Comply with law, regulation, legal process, or governmental requests
  • Enforce our agreements
  • Investigate fraud or security incidents
  • Protect the rights, property, or safety of Vistasolve, our users, or others

6. User Content

Vistasolve may store content that you upload, create, schedule, or otherwise provide through the Services.

You retain your rights in your content, subject to the rights and licenses necessary for Vistasolve to operate the Services as described in our Terms of Service.

We access and process user content only as reasonably necessary to provide requested functionality, maintain and secure the Services, provide support, comply with law, and perform other purposes disclosed to you.

For example, if you schedule an image for Instagram, Vistasolve needs to process and temporarily or persistently store that image as necessary to prepare and execute the scheduled publication.

7. Social Media and Third-Party Services

Vistasolve integrates with third-party platforms. These integrations are controlled by the permissions you grant and the capabilities exposed by those platforms.

Third-party platforms may independently collect and process information according to their own policies.

Vistasolve does not control the privacy practices of third-party platforms.

If a third-party platform changes its API, permissions, policies, or availability, some Vistasolve functionality may change or become unavailable.

8. Data Retention

We retain personal information for as long as reasonably necessary to:

  • Provide the Services
  • Maintain active accounts
  • Meet contractual and business requirements
  • Resolve disputes
  • Maintain security
  • Comply with legal obligations
  • Enforce agreements
  • Maintain appropriate business and financial records

Retention periods vary depending on the type of information and the reason it was collected.

When information is no longer required, we may delete, anonymize, or securely dispose of it, subject to applicable legal, security, backup, and legitimate-business requirements.

9. Account and Data Deletion

You may request deletion of your Vistasolve account and personal information, subject to applicable law and legitimate exceptions.

Where available, account deletion may be initiated through the Services. You may also contact us using the privacy contact information in this policy.

For connected social-media accounts, disconnecting the account prevents Vistasolve from continuing to access the account through the applicable authorization, subject to platform behavior and token validity. Additional deletion may be required to remove information already stored in Vistasolve.

We may retain limited information where necessary for legal compliance, fraud prevention, security, dispute resolution, financial records, or other lawful purposes.

For Meta-related integrations, Vistasolve will provide the data-deletion mechanism required by applicable Meta platform requirements.

10. Data Security

We use reasonable technical and organizational measures designed to protect personal information against unauthorized access, alteration, disclosure, loss, or destruction.

Depending on the information and service involved, these measures may include:

  • Encryption in transit
  • Access controls
  • Authentication and authorization controls
  • Secure credential handling
  • Logging and monitoring
  • Infrastructure security controls
  • Backups and recovery procedures
  • Least-privilege access
  • Security updates and maintenance

No internet-based service can guarantee absolute security. Users are responsible for protecting their account credentials and promptly reporting suspected unauthorized access.

11. International Data Transfers

Vistasolve and our service providers may process or store information in countries other than the country where you live.

Where applicable law requires safeguards for international transfers, we will use appropriate mechanisms required by that law.

12. Your Privacy Rights

Depending on where you live and which laws apply, you may have rights including:

  • Access to personal information
  • Correction of inaccurate information
  • Deletion or erasure
  • Restriction of processing
  • Objection to certain processing
  • Data portability
  • Withdrawal of consent where processing is based on consent
  • Information about how your personal information is processed
  • The right to lodge a complaint with a relevant data-protection authority

To exercise a right, contact us using the details below. We may need to verify your identity before completing a request.

Some rights are subject to legal exceptions and limitations.

13. Marketing Communications

We may send service-related communications that are necessary to operate your account.

Where permitted, we may also send promotional communications. You can unsubscribe from marketing emails using the unsubscribe mechanism in those messages.

Unsubscribing from marketing communications does not necessarily stop important service or security communications.

14. Children's Privacy

The Services are intended for business and general users and are not directed to children.

We do not knowingly collect personal information from children where doing so would violate applicable law. If you believe a child has provided personal information to us improperly, please contact us so that we can investigate and take appropriate action.

15. Third-Party Links

Our websites or Services may contain links to third-party websites or services.

We are not responsible for the privacy practices, content, or security of third-party services. We encourage you to review their privacy policies before providing information.

16. Changes to This Privacy Policy

We may update this Privacy Policy when our Services, data practices, legal obligations, or business arrangements change.

When we make material changes, we will take reasonable steps to notify affected users as required by applicable law.

The "Last updated" date at the top of this policy indicates when this version became effective.

18. Additional Notices for Business Customers

When Vistasolve processes personal information on behalf of a business customer, the customer may determine the purposes and means of processing. In those circumstances, Vistasolve may act as a data processor or service provider.

Business customers may need to provide their own privacy notices to their users, employees, customers, or other individuals whose information they submit to Vistasolve.

Where appropriate, Vistasolve may enter into a data processing agreement or other privacy/security terms with business customers.

19. Social Media API Data

When Vistasolve accesses data through social-media APIs, we use that information only for the purposes authorized by the user and permitted by the applicable platform.

We do not use connected social-media data to independently build advertising profiles unrelated to the requested Services.

Where a platform imposes additional restrictions on API data, Vistasolve will comply with those applicable platform requirements.
